A practical file-naming system for invoices, quotes and purchase orders
Create filenames that sort well, remain searchable and avoid exposing unnecessary sensitive information.
A consistent filename can save significant time when records accumulate. Useful names combine date, document type and a unique reference without becoming excessively long.
Use sortable dates
A YYYY-MM-DD date format sorts chronologically in most file systems and is easy to scan.
Pair it with the document type and unique reference, for example 2026-08-31_Invoice_INV-2041.pdf.
Avoid sensitive data in filenames
File names may appear in cloud histories, email previews and shared folders. Do not include bank data, identity numbers or other information that does not need to be exposed.
Use neutral project or customer codes when a human-readable identifier is necessary.
Document the convention
A simple naming rule works only when everyone follows it. Put the convention in your operating procedures and keep examples.
Do not rename files in a way that breaks references used in accounting or approval systems.
