How to write a professional quote that is easy to approve

Structure scope, pricing, validity, exclusions and acceptance terms so customers can make a clear decision.

A strong quote is more than a price. It records what you are offering, what is excluded, how long the offer is valid and what the customer must do to accept it.

Define scope before price

Describe deliverables in language the customer can recognize and approve. Break complex work into meaningful phases or line items when that improves clarity.

State assumptions, customer responsibilities and exclusions so the price is not interpreted more broadly than intended.

Make commercial terms visible

Show the price, currency, tax treatment where relevant, payment schedule, delivery timing and validity period.

If additional work is billed separately, explain the trigger and pricing method before acceptance.

Provide a clear acceptance path

Tell the customer how to accept the quote and what happens next. For high-value or complex work, a separate contract may still be necessary.

Keep a copy of the accepted version so later changes can be compared against the original scope.
